JOB PURPOSE: The selected candidate will be responsible for performing and/or participating in one or more clerical assignments of average difficulty, which might include receptionist, secretarial, records keeping, and administrative activities. Positions might also require proficiency in typing and in operation of computer equipment and software.


  • Performing clerical or receptionists work in a particularized area.

  • Reviewing information for accuracy and routing to proper departments.

  • Participating in maintaining office files and records.

  • Handling confidential documents according to procedures in order to maintain security.

  • Sorting and distributing mail.

  • Answering telephones, taking messages and reserving conference rooms.

  • Receiving and properly responding to inquiries and complaints from the general public, municipal officials, employees, and other agencies.

  • Attending to complaints or referring to appropriate agency for completion, recording type of action and results.

  • Paying of all invoices and use of ADPICS and FAMIS.

  • Maintaining directories, schedules, maps, logs, and other records.

  • Operating, cleaning, and performing minor adjustments and limited maintenance on various office machines and equipment.

  • Researching databases, files and other records to obtain or verify information.

  • Making copies of reports or other documents.

  • Preparing materials for requests/distribution in accordance with Public Records Law.

  • Counting funds and reconciling; balancing cash/check receipts; ordering and payment of all purchases for the office including subscriptions, office supplies, and all aspects of travel; recording and depositing monies collected from fees.

  • Proficiently type and/or use a variety of computer software.

  • Employees may provide training and/or serve as lead workers on a limited basis.

  • Performing related work as required.


  • Knowledge of business English and mathematics.

  • Knowledge of standard office practices, procedures and equipment related to the assigned area.

  • Knowledge of the operation of computers and software packages.

  • Knowledge of rules, regulations, policies, and procedures of the department to which assigned.

  • Ability to understand and follow moderately complex oral and written instructions.

  • Ability to prepare reports; maintain accurate records.

  • Ability to learn and perform assigned clerical and administrative tasks readily and with accuracy.

  • Ability to meet the public and establish effective working relationships with others.

  • Ability to train other employees when required.

  • Ability and skill in the operation and minor maintenance of office machinery and equipment.

  • Ability to type and operate computers accurately and at a prescribed rate of speed, when required.


    High-school graduation and one (1) year of general office or clerical experience; or an equivalent combination of training and experience.


    Possession of a valid Florida Driver's License.


  • Written Test (Time Limit: 1-1/2 hours).

  • Performance Test of typing ability (passing is 40 wpm with a maximum of 6 errors)Typing is not required, but preferred.

  • Drug testing is included in all pre-employment processing.
